Job Description

Administrative Specialist SKMS Location Remote in United States :

The Administrative Specialist position provides clerical and administrative support to the National Center of Excellence for Liquefied Natural Gas (LNG) Safety (Center). The Administrative Specialist will take on various roles to help ensure effective day-to-day operations of the Director and other Center staff.

  • Serving as a point of contact for people who contact the Center
  • Planning and organizing events such as conferences, events, and staff training
  • Supporting and managing the day-to-day operations, including answering phone calls, responding to emails, addressing basic IT issues, arranging travel, and scheduling meetings
  • Providing administrative, logistics, and operational support to the Director of the Center
  • Managing internal and external stakeholder relations through exceptional customer service
  • Observing, reviewing, and analyzing processes to identify inefficiencies and areas where improvements could be made during the Center's establishment
  • Ensuring that all activities conform to local, federal, and industry standards
  • Preparing and maintaining operations documents and reports
  • Coordinating activities for personnel in the Center with other offices in the Department of Transportation, other federal partners, representatives from companies in the LNG industry, members of the public, or other stakeholders
  • Proactively address the needs of staff while working to help the Center establish and provide services to the people it is designed to serve.

Education

Bachelor's degree in a relevant field is required.

Experience

Minimum three (3) years of experience in administrative and/or office management work

Two (2) plus years of planning and coordination experience preferred

License, Cert or Registration

Proof of U.S. citizenship or authorization to work in the U.S.

Ability to obtain security clearance enabling access to various Government facilities.

Special knowledge, skills, & abilities

Must possess an excellent ability to communicate verbally and in written form effectively and the ability to work within the U.S. Government realm.

This position requires the ability to communicate effectively before groups of stakeholders.

Excellent telephone skills and knowledge of troubleshooting.

Success in managing multiple tasks simultaneously. Adaptable to changing requirements and tasks.
